Email is an unfortunate necessity of everyday life in the digital space, and Google’s Gmail suite is one of the most popular email services. I bet you’re not getting the most out of your Gmail experience because there are tons of tips and tricks out there to make your digital life easier. We’ll go over some of the most common, and not so common, tips and tricks, so you can apply what works best for you.


Seeing everything in your inbox can be a little daunting for some people. So, Gmail has implemented a categorization system to classify specific emails into folders for your convenience. But did you know that you can change these settings to your liking?

Add or remove category tabs

  • Open Gmail on your browser.
  • Click Settings in the upper right corner, then click See all settings.
  • Switch to the Inbox tab.
  • Choose Default from the “Inbox type” drop-down menu.
  • Select another inbox type to make all tabs invisible.
  • Check the boxes next to the tabs you want to display in the “Categories” section.
  • Once you have reached the bottom, click Save Changes.

You will only receive notifications for emails in your primary category if notifications are enabled.

Move emails to a new category

  • Simply drag an email into a new category.
  • When you do, you’ll be prompted if you want to move all those emails into the category from now on.
  • Tap yes if you’re happy to do so.

Sometimes things end up in places we don’t want them to. Gmail is moving promotional content into its own category, but if it’s something you want to disable, you can do so by

  • Go to settings View all settings.
  • Click Inbox uncheck “Enable grouping of top promotional emails in promotions”.

Change theme

You can customize how Gmail works for you with its topic section. You can choose from the various themes available in the theme store or you can upload your own images.

  • Click Settings in the upper right corner, then click See all settings.
  • Click Show All next to Themes.
  • Choose your theme from the Themes window.
    • Default to use the default theme.
    • Dark to use Dark mode.
    • any theme for a pre-downloaded theme
  • Press save when you are satisfied with the results

Set a photo as background

Make sure your photos are saved in Google Photos before continuing.

  • Open Google Mail on your browser.
  • Click Settings in the upper right corner, then click See all settings.
  • Click Show All next to Themes.
  • Click My Photos in the lower left corner.
  • Select a photo by clicking Featured, My Photos, or Recently Featured.
  • Try a larger size photo if your image looks blurry.
  • Click Select in the lower left corner.
  • Press Save.

Search in Gmail

Look for

  • When you’re in Gmail, you’ll see a search bar at the top of your screen.
  • Just type in the box what you want to search for
  • Press Enter.


If you need something more granular, you have the option to be a bit more specific.

Here are some examples of things you might search by:

  • Label: Search for everything contained in a label you generated.
  • Of: Check if correspondence was sent from a specific email address.
  • TO: Look for anything you send to a particular email address.
  • Attachment: Look for anything with an attachment or a specific file type, such as a PDF, Google Doc, or Google Sheet.
  • Date: Search for any matches from a given date or date range.
  • Unread : Look for anything that has an “unread” status at the moment.
  • Wipe off: To delete your search history, you can do so by going to your search bar and you will be able to see your most recent searches. Press X next to the results you want to clear.

  • On Gmail, scroll down to the left and click More.
  • Click Create New Label.
  • Choose a tag name.
  • Tap Create.

Edit labels

  • On the left side of the page, navigate to the label name.
  • Click More
  • Then you can edit your label.

Remove labels

  • Again, head down on the left side of the page, hover over the label name.
  • Click More
  • Then remove the label.

  • Click Compose.
  • At the bottom right of the window, click on Confidential mode to activate it
  • Set a password and an expiration date. The text of the e-mail as well as the attachments are affected by these options.
  • Users who use the Gmail app will be able to access it immediately if you select “No SMS password”.
  • Someone who does not use Gmail will receive an email with a password.
  • Recipients will receive a code by SMS if you select “SMS Access Code”.
  • Do not enter your personal phone number; instead, enter the recipient’s.
  • Press Save.

To edit an email that has already been set to confidential mode, scroll to the bottom of the email and click Edit.

Cancellation of emails

One of Gmail’s smartest features is the ability to recall certain messages after a short time if you decide not to send them.

  • Send your email as usual,
  • You will see a prompt asking if you want to cancel.
  • Press the Cancel button to cancel sending your email.

Setting Cancellation Timers

  • Head to the Settings menu and
  • Tap See all settings.
  • On the General tab, find the Undo Send feature.
  • Choose a different cancellation period and click Save Changes.
